Job Description – HGV Workshop Administrator
Kealshore / K Sweep – Kirkby, Merseyside

Kealshore / K Sweep are recruiting a Workshop Administrator to support and control the administrative, compliance, and cost functions of our HGV workshop and fleet operation.

This is a critical operational role, not optional support. The Workshop Administrator exists to remove administrative burden from engineers, tighten compliance, and maintain full visibility across fleet maintenance, suppliers, and systems.

The Role

You will be responsible for the day-to-day administration of the workshop and fleet maintenance function, ensuring all records are accurate, compliant, and up to date.

This role requires someone organised, assertive, and comfortable dealing with drivers, engineers, suppliers, and operations teams.

The Role:

Maintain all documentation (via digital system) – Recording and systematically documenting vehicle Job Cards, Servicing, MOTs Etc.
Ensure all inspections, servicing, MOTs, defects, and repairs are logged accurately
Chase and control compliance paperwork and certification
Oversee tyre administration – call-outs, replacements, records, invoice checks
Maintain Tyre Pressure Monitoring (TPMS) records – faults, resets, compliance tracking
Procurement – parts ordering, suppliers, cost tracking
Handle workshop and fleet-related calls
Act as the link between workshop, operations, and office
Support the Workshop Manager by ensuring administration, compliance, and reporting are controlled and reliable
What We Expect From This Role:

Previous experiencein fleet, workshop, or transport administration (HGV environment preferred)
Strong understanding of compliance-driven operations
Confident using computer systems (fleet software, email, spreadsheets)
Highly organised, detail-focused, and structured
Proactive by default — identifies issues and fixes them before they become problems
Comfortable dealing with engineers, suppliers, and managers
Able to work independently and take ownership of the role

Job Type: Full-time, Permanent
Hours: Monday to Friday, 7:00am – 5:00pm
Holiday: 28 days per year (including bank holidays)
