Operations Manager EMEA/APAC – AVP (London)

The Legal Department of JPM is responsible for the provision of legal services to the firm. The department also includes the Office of the Secretary. The Office of the Secretary “OTS”, headed by the Corporate Secretary who reports to the firm’s General Counsel, partners with senior management, directors, control groups, LOBs and corporate units to promote effective and consistent governance of the firm, its branches, subsidiaries and affiliates (each, an “Entity”). The team also maintains the legal good standing status of these Entities in the required jurisdictions with responsibility for various regulatory reporting in all locations.
OTS operates through a corporate team and three regional hubs, in New York City, EMEA and APAC. OTS also works closely with the Firm’s Board of Directors and is responsible for the coordination of Board meetings and materials. OTS has responsibility for the Firm’s proxy statement as well as various other public filings and interfaces regularly with JPMC’s shareholders on governance matters. In addition, members of the practice group are involved in various industry initiatives to consider best practices for the banking industry as a whole.
The role and key responsibilities:
We are looking for a dynamic and agile individual who is comfortable working across a number of activities with a range of stakeholders. This is a great opportunity to be part of an international team reporting directly to the Head of Operations EMEA/APAC.
The successful candidate will play an important role in guiding the team through an aggressive transformation of our end-to-end processes for Legal Entity Management. The scope of this role includes an innovative cross-business and cross-functional effort, focused on optimizing our operational efficiencies while reinforcing a strong control environment. Through partnership with global colleagues the EMEA/APAC Operations Manager will assist in driving the implementation of the OTS Global Operating Model forward.
The successful candidate must have strong analytical and collaborative skills, be able to work independently and be a true “self-starter.” The successful candidate must also be able to communicate, verbally and in writing, effectively and succinctly with all levels of management and be adept at Excel, PowerPoint and Visio.
Primary Duties will include:
Support the Head of Operations EMEA/APAC to drive initiatives and projects forward
Drive initial project set up; mapping key stages/steps/milestones in Visio/Excel or PowerPoint as required. Coordinate projects and provide project status reporting, which will include weekly updates
Produce metrics/reporting by extracting data from our core databases and summarise key findings. Be comfortable using Excel functions: pivot tables, vlookups, calculation tools etc.
Help track and manage team resources/workload by speaking to individuals and understanding their deliverables and capacity. Help mitigate busy periods by forward planning
Work closely with colleagues in North America to manage, coordinate and drive the training schedule in EMEA/APAC
Take a lead role in the global communication strategy. Leverage the OTS Global Operations Newsfeed and other platforms to help drive consistent messaging and a timely flow of relevant information across the department.
Seek efficiencies and more effective ways of working by understanding the current processes and how we can streamline and improve. This may be achieved by outsourcing activities to Mumbai or other locations
Be proactive in suggesting technology that will increase efficiency. Take a lead in driving and implementing technology enhancements, e.g. by conducting UAT testing, participate in focus groups
Monitor risk and the associated control processes in line with the global RCSA (Risk Control Self-Assessment) and where necessary suggest and Implement new controls to reduce the risk level in day to day activities of the team
Manage the teams’ repository of processes and provide training and guidance in the use of the repositories (i.e. iManage/SharePoint).Qualifications
Bachelor’s degree – Required / MBA or related Masters Degree is a plus
Project management qualification – Preferred/Desired
Desired background and experience
Must have at least 3-5 years of experience in an operational role within a large financial services firm, legal firm or other large organisation
Previous expertise and a true passion for process innovation, design, and technology with proven success delivering complex, large scale initiatives
Relevant experience in the following areas is preferred: project management, strategic management, operational risk and control, technology integration
Excel / Visio/ PowerPoint skills – Required
Leadership roles in Management Consulting – Desired / a plus
Experience/exposure to Legal Entity Management databases – Desired / a plus
Company secretary exposure/ experience – Desired / a plus
Regulatory background exposure/ experience – Desired / a plus
