As an Executive Assistant (EA) in the group, you will perform diverse secretarial duties requiring confidentiality, a strong work ethic and common sense approach. This position is to provide EA support to VCG Group EMEA Head, 3 MDs and 4 EDs along with ad hoc requests from a large team.
Core Responsibilities:
• Extensive Diary Management for Regional Head
• Ownership of all governance and team meetings for this group
• Communication – Building relationships/interacting regularly with internal and external clients such as Totem.
• Finalizing travel arrangements: co-ordination of flights, tickets, visas, accommodation and ground transportation
• Preparing travel itineraries
• Become integral part of business unit, understand group priorities
• Management of expense processing through Concur, reimbursement and account reconciliations for all Amex Cardholders and team members
• Setup of meetings, Telepresence meetings, conference calls, internally and externally, using SeeMe and MeetMe.
• General administration duties (Room bookings, filing, faxing)
• Phone coverage for main stakeholder
• Partnership with other assistants to provide buddy coverage during holiday/sickness absence
• Producing vacation reports using either OMD or GAT
• Ad Hoc Project work with a view to more involvement within the business group.Knowledge, skills and experience required:

• Experience of effectively arranging travel, production of accurate itineraries and able to effectively navigate systems and apply good judgment.

• Awareness of expense arena, expense systems and cost control initiatives e.g. can champion expense policy, process expenses in a timely manner and reconcile accounts accurately

• Displays a high level of attention to detail and delivers high quality results.
