Investment Solutions serves all Wealth Management client channels, managing and supporting solutions across discretionary and brokerage investments. Our team consists of over 600 professionals, including – Portfolio Managers, Market Strategists, Traders, Research Analysts and specialists across Due Diligence, Product Development and Risk Management. Investment Solutions has a presence in 17 cities globally, and is responsible for $925B in total investment assets.
This is a challenging, busy and varied role which will suit an experienced Executive Assistant.
Some key responsibilities include:
Managing staff on-boarding & off-boarding logistics
Assisting and/or leading the organisation of events
Team travel arrangements, coordinating logistics for business trips, preparing itineraries and maintaining group leave records
Invoicing and processing of expense claims and related record-keeping
Professionally fielding phone calls, addressing issues or redirecting as appropriate, and distributing messages in a timely and appropriate manner
Providing general support including photocopying, booking meeting rooms, stationery re-ordering, typing, filing, mail, etc
Assisting in ad hoc project administration support when required
Diary management and arranging meetings
Following procedures in relation to headcount eg starters/leavers/transfers etc
General day-to-day office functions
You will be expected to work as part of a larger administrative group, from time to time, cover for other assistants on the platform will be requireKnowledge skills and experience required:
Previous experience in secretarial field, preferably working experience in the banking / financial industry essential
Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint; knowledge of Outlook preferred)
Knowledge of general office procedures
Effective interpersonal skills – able to work in a busy and high pressure environment
Superior oral and written communication skills
Excellent telephone manner
Excellent interpersonal skills, organisational skills and attention to detail
Ability to organise and manage own time effectively
Proactive and flexible attitude with the ability to work as a part of a team
Tact and good judgement and the ability to interact with senior management
Ability to multi-task in a busy and demanding role
Flexibility around working outside contracted hours when required
Experience in managing relationships across all levels
Able to work under pressure and tight deadlines.
