- Comprehensive diary management and planning, including travel arrangements and visa applications
- Maintaining staff leave and absence records for team, HR and payroll purposes
- Preparing and submitting detailed expense claims (Concur)
- Raising purchase orders and processing invoices for payment (P2P)
- Creating, maintaining and updating client and opportunity records (Salesforce)
- Liaising with other departments, external clients and suppliers globally; to arrange meetings, video conferences, conference calls, training sessions and team events, together with any associated requirements (catering, security access, meeting rooms and specialist equipment)
- Preparing and facilitating official signatures of client Engagement Letters, ensuring compliance with all corporate procedures and record keeping requirements (RDR/Ratings Gateway)
- Regularly updating and circulating Ratings Advisory contact/mailing list to Marketing team
- Generating and formulating detailed reports on a weekly, biweekly, monthly and ad hoc basis
- Supervising user access and regularly updating documents/information on the global CBM SharePoint site (ICE)
- Supporting team members with projects, research, telephone calls, emails, general administration, presentations, correspondence, stationery requirements, subscriptions, event attendance and any issues arising with IT, corporate credit cards, mobile phones/hand held devices and office equipment
- Assisting clients, new business team and product support team with enquiries and directing to appropriate Sales contact for timely response
- Identifying needs from other departments/teams/offices and creating the necessary reports, organisational charts, contacts lists, distribution lists and calendar systems to improve communication and information flow
- Key point of contact for all remote team members seeking advice, information and assistance
- Any other duties as may be deemed necessary to support the activities of the group
